A weekly sales report can run as a system if the source files look the same every week: it combines the files, checks the totals and flags incomplete rows for a person to review before the report reaches the manager. If the files change format often, training the team to use AI with Excel pays off first.
The report that comes back every week
Every week, someone exports sales from the sales or accounting program, or collects a sheet from each rep.
Then they paste it all into one file, match the product codes, check the totals and send it to the manager.
None of it is hard. It just comes back every week, and copy and paste is where mistakes slip in.
How far your team gets with AI and Excel
A team that knows how to use AI can do a lot of this itself, before anyone thinks about a system.
- Formulas: ask AI to help write the formula that adds up sales or matches product codes
- Exports: clear out unused columns and make the date formats match
- The note: draft the short message that goes out with the report
A person still checks the totals every time. AI can write a wrong formula while the table still looks tidy.
To get the team started this way, see our AI classes for teams.
When it is worth a system
If the team already uses AI and still repeats the same steps every week, it is time to think about a system, especially when:
- The source files look the same every time
- More than one source to combine
- The report must reach the manager on a schedule
How the report workflow runs
Source files → Data checks → Report and exceptions
Each team uploads its file to the same place. The system combines the files, checks product codes against the product list and ties the total back to the source files.
Rows it cannot match, or rows with missing data, are set aside for a person to check. The system does not guess.
Sample data: week 40, from two sales teams
| Team | Sales | To check |
|---|---|---|
| Sales team A | ฿702,300 | 2 rows with unmatched product codes |
| Sales team B | ฿582,200 | 1 unmatched code, 2 incomplete |
| Total | ฿1,284,500 | 5 rows |
Want to see it in motion? See the sample on the services page.
Three checks before it reaches management
Whether the team does it or a system does, check these three every time.
- The total matches the source files. Add up each file and compare it with the report.
- Unmatched product codes are set aside, not quietly dropped from the total.
- Loading the same file twice does not count sales twice. Upload a file again; the total must stay the same.
Not yet, if...
- The files change format every week. Columns move and headers get renamed, so the system needs fixing every time. Agree on one file layout first, or let the team use AI with Excel for now.
- Cost data is incomplete. If you want to see margin but some products have no cost yet, start with a sales report, not a margin report.
Frequently asked questions
Do we need to change our sales or accounting program?
No. We start from the files you can already export, and anything that needs to change goes in the scope of work.
Can the summary go to LINE?
Yes. A short summary goes to the LINE group you agree on, and the details open in Google Sheets.
How much does it cost?
It starts with a 60-minute work review for ฿2,000, credited in full against the build, and you get a fixed price before work starts. See our pricing page.
